Regulations for applications and use of Hennepin County Library Organization Cards
Organization Cards are available free of charge to organizations and business firms located in the Hennepin County Library service area or to Hennepin County departments/divisions/sections located outside of suburban Hennepin County.
An organization is defined as one or more persons formally organized for some purpose or activity.
An official of an organization who is willing to accept complete responsibility for all of the cards issued to the organization and for all materials borrowed on the Organization Cards, will complete and sign an application.
- The card(s) will contain a signature space where either the designated cardholder or the authorized person will sign his/her name.
- The card(s) can be used by anyone that the authorized person designates to use the card. This can include a messenger service, employee or volunteer. When cards are to be used by a service, volunteer or a messenger, they will use the card(s) signed by the responsible person.
- It is the responsibility of the official who signs the application to notify the Hennepin County Library's ApplicationsSoftware Section if the card(s) is misplaced or stolen. A new library card will be issued and the original card number will be listed as invalid. The organization is responsible for all unreturned materials checked out to the organization up to the date the loss was reported.
- All regular library circulation policies and procedures apply to the use of the Organization Cards, i.e., loan periods, fines, etc.
- Organization cards are valid for one year. A one-year expiration date is entered at the time of registration. See the Organization Card Procedures for what to do when a card expires.
- The application for an Organization Card is to be returned by mail to the Hennepin County Library's Applications Software Section (address on the application form). The library will mail the library card(s) to the organization as quickly as possible. Or, the application can be sent by staff to TS/Applications Software via the interdepartmental mail. No material may be checked out without a valid, properly signed card.
- If the name of the official accepting responsibility changes, a new application must be completed. If the cards of the responsible person cannot be retrieved and destroyed, the information contact* in Applications Software must be notified of the loss of the card(s) and a new application must be completed. New card(s) will be issued and the previous card(s) will be declared invalid.
